Privacy Policy

Studio 121 Fitness Training ("we", "us") is committed to protecting your privacy. This policy explains what personal data we collect through this website, why we collect it, who receives it, and your rights over it.

What we collect and why

Contact form. If you send us a message through the contact form we collect your name, email address, phone number (optional), the subject of your enquiry and your message. We use this only to respond to your enquiry. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in answering enquiries about our services.

Newsletter. If you subscribe to our newsletter we collect your email address and use it only to send you the newsletter. Lawful basis: your consent, which you can withdraw at any time (see "How long we keep your data" below).

Security and rate limiting. To protect the contact and newsletter forms from abuse, our server holds your IP address briefly in memory to limit how many submissions can be made from one address in a short period. It is not written to any log or database. Every page also runs Vercel BotID, a bot detection service that analyses browser signals to tell real visitors from automated software, and form submissions are checked against it. Lawful basis: our legitimate interest in keeping the website secure and working. Bot detection does not set cookies for tracking or advertising.

Who receives your data

We never sell your data or pass it to third parties for marketing. The following providers process data on our behalf or when you use the features they power:

  • Resend (email delivery, United States): delivers contact form messages to us. Copies of messages pass through Resend, which keeps delivery logs for a limited period under its own retention policy. Resend privacy policy.
  • Mailchimp (Intuit, email marketing, United States): holds our newsletter mailing list and sends the newsletter. When you subscribe, Mailchimp emails you a confirmation link and records the date, time and IP address of your confirmation as evidence of consent. Every newsletter includes an unsubscribe link.   • Vercel (website hosting and bot protection, United States): hosts this website and runs the bot detection described above. Our server functions run in London; Vercel's network serves pages from the location nearest you and keeps short-term request logs that include IP addresses. Vercel privacy policy.
  • Bookwhen (online booking): provides the booking calendar embedded on our Book Online page. Any details you enter there, including names and payment information, are collected and processed by Bookwhen under their own terms. Bookwhen privacy policy.
  • Sentry (error monitoring, Functional Software Inc., data held in the EU): if a page or form fails, a report of the error is sent to Sentry so we can fix it. It contains the page address, the browser and device type and the technical details of the error, but not your name, IP address or anything you typed.   • Google (maps and analytics): provides the map embedded on our Contact and About pages and, only if you accept analytics cookies, Google Analytics 4 via Google Tag Manager. Google privacy policy.

Where these providers process data outside the UK, the transfer relies on the UK International Data Transfer Addendum to the provider's standard contractual clauses, or on a UK adequacy decision where one applies.

Cookies and embedded services

This website sets no cookies unless you accept them. When you first visit we ask whether you will allow Google Analytics, which we use to understand which pages are visited and how people find the site. Nothing is set until you choose, and rejecting changes nothing about how the site works. If you accept, Google Analytics sets the _ga and _ga_* cookies (retained for up to 2 years) and Google receives your browser details and a truncated IP address that it does not store. We keep Google Signals (advertising features) switched off and keep reports for 14 months. You can change your choice at any time using the "Cookie settings" link in the footer. Lawful basis: consent. We do not use advertising cookies.

Some pages embed services from other providers. These load directly from the provider, which receives your IP address and may set its own cookies:

  • The Bookwhen booking calendar sets a session cookie as soon as the Book Online page loads.
  • The Google Maps embed on the Contact and About pages may set Google cookies when the map loads.

The Instagram section on the home page is different: our server fetches our latest posts from Behold, a feed service connected to our Instagram account, and serves the images itself. Your browser does not contact Instagram, Meta or Behold to display it.

You can block third-party cookies in your browser settings; the rest of the site will still work, though the embedded booking calendar and map may not.

How long we keep your data

Enquiries are kept only as long as needed to respond to you and for reasonable follow-up. Newsletter addresses are kept until you unsubscribe. You can unsubscribe at any time by emailing info@studio121.co.uk or by using the unsubscribe link in any newsletter.

Clients

If you train with us, the records we hold as your trainer (including your health questionnaire (PAR-Q) and any medical clearance) are covered by our client agreement and our Client Privacy Notice, not by this website policy. See our Terms & Conditions for the client agreement.

Your rights

Under UK data protection law you have the right to access the personal data we hold about you, to have it corrected or erased, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent at any time where we rely on it. Some of these rights are subject to exceptions, for example data we are obliged to keep for administrative or legal purposes. To make a request, email info@studio121.co.uk. If you are unhappy with how we handle your data you also have the right to complain to the Information Commissioner's Office (ico.org.uk).

Changes to this policy

If we add features to the website that change what data is collected (for example analytics), we will update this policy at the same time.
